Kaizen Family — Privacy Policy

Kaizen Family holds the ordinary details of running a household — who is where, what needs doing, what is for dinner. We treat that as private by default. This policy sets out exactly what is stored, the few things that are sent outside our systems and why, and how to get rid of any of it.
The short version.
Your household's information is stored in the United States and is not sold, rented, or shared for advertising. We do not build advertising profiles and there are no advertisements in the app.
When you ask Kaizen to read a notice or suggest meals, that request goes to Anthropic's Claude — but only the specific thing you asked about. Your calendar, your tasks and your shopping list are never sent. What you do send goes whole: if you photograph a letter, everything legible on it goes too.
You can delete anything you have sent in, and you can delete your account and your household's data outright, from inside the app.
Who we are

What we store
Your account
- Your email address, and a display name if you give one.
- Your password is handled by our authentication provider and stored only as a cryptographic hash. Nobody at Kaizen Group can read it.
Your household
- The household name, its time zone, and its currency.
- Each member's name and role — owner, adult, child, or caregiver — and a birthday if one is entered.
What you put in the app
- Calendar events: title, notes, location, times, and who they involve.
- Tasks and chores: title, notes, due dates, who they are for, and completions.
- Meals: names, ingredients, preparation time, and which day they are planned for.
- Shopping list items: name, quantity, category, and price if you record one.
- Food preferences: allergies, dietary restrictions, dislikes, favourite meals, and how long you have to cook on a weeknight.
- Your weekly grocery budget, if you set one.
- Anniversaries and other family dates you record — the label you give one and its date, alongside the member birthdays described above.
- Daily Declarations: the title and words of anything your family writes to read each morning, and which one is currently in use. These are written by you and stored for your household only; they are not sent to the assistant.
- Anything you send to the Family Inbox — the text you paste, and any photograph or screenshot you upload.
Usage records
- For each request to the assistant, we record what kind it was, when, which model answered, how many tokens it used, what it cost and whether it succeeded. We deliberately do not store the text of the request or the answer in these records.
- Your notification preferences, which are per person rather than per household.
- Your subscription status, if you subscribe.
Where it is stored
In a hosted PostgreSQL database and file storage provided by
Supabase, in the United States (AWS
us-east-1). Photographs you upload go to a private storage bucket —
there is no public link to any of them, and viewing one requires a short-lived
signed URL generated for that request.
If you use the app from outside the United States, your information is transferred there. By using Kaizen Family you consent to that transfer.
What is sent to the AI assistant, and what is not
Kaizen's assistant is built on Claude, from Anthropic. Every request goes through our own server first, which decides what to include. We send the minimum the request needs to be answered correctly.

What Kaizen never adds to a request: your name or your family members' names, your email address, your account identifier, your calendar, your tasks, your shopping list, your address, or your household's name.
But what you send is sent whole. That list above describes what Kaizen attaches. It cannot describe what is already inside the thing you chose to send.
A photograph goes as it is. Anything legible in it goes with it — a name, a home address, a reference number, a medical detail, or the details of somebody outside your family who happens to be named on the page. The same is true of text you paste. That is what makes reading a notice possible at all, and we would rather say so plainly than let the list above imply a redaction we do not do.
So it is worth a glance before you send: if part of a letter is nothing to do with what you need Kaizen to find, you may prefer to photograph only the part that is, or to paste the few lines that matter instead.
Anthropic processes these requests on our behalf. Under our commercial terms with them, your content is not used to train their models.
Nothing the assistant suggests is saved until you accept it. Suggestions are shown to you and only become an entry in your calendar or your list when you tap to add them. That is enforced in the database itself rather than left to careful handling: the server component that talks to Claude has had its permission to write to your calendar, tasks, meals and shopping list withdrawn, so an attempt to do so is refused by the database whatever the software asks for. It records only the suggestion, for you to accept or discard.

Reminders and notifications
Reminders are scheduled and delivered by your own device. Kaizen Family does not register a push token with any server, and the contents of a reminder never leave your phone. If you switch reminders off, nothing is scheduled.
Children
Kaizen Family is for adults running a household. It is not directed to children, and children do not have accounts — there is no way for a child to sign in.
An adult may add a child as a household member, which stores that child's name, their role, and a birthday if the adult chooses to enter one. That is the only information about a child the app holds, and it is entered by a parent or guardian for their own household's use. Removing a member, or deleting the household, removes it.
We do not knowingly collect information directly from children. If you believe a child has created an account, write to privacy@kaizengroupint.com and we will remove it.
Your choices
- Delete anything you sent to the Inbox. Open it under "Sent in before" and delete it. This is a real deletion, not a hidden flag — the note, anything the assistant found in it, and any photograph are removed. Entries you already accepted stay in your calendar or list, because they are yours now.
- Delete individual records — any event, task, meal or shopping item — from the app.
- Delete your account. Settings, at the bottom. This removes your account and your household's data.
- Stop sharing usage data. Settings › Privacy › Share usage data. Turning it off stops analytics for your account, on that device, straight away — no request needed and nothing to wait for. If you would rather ask us, write to privacy@kaizengroupint.com.
- Turn off notifications in the app's notification settings, or in your phone's settings for Kaizen.
Depending on where you live you may also have rights to access, correct, export or restrict the processing of your information. Write to privacy@kaizengroupint.com and we will respond within the time your local law requires.
How long we keep it
Your household's information is kept while your account exists. When you delete your account, it is removed.
Two things are kept for a short, fixed period after you remove them, so that an accidental deletion can be undone. Anything you delete — a person, an event, a task, a meal, a shopping item — is held for 90 days and then destroyed automatically. An invitation is destroyed 7 days after it expires, is cancelled, or is accepted, along with the address it was sent to. Both happen on a nightly schedule whether or not you ask.
Usage records that contain no household content — which kind of request, when, what it cost — may be retained for billing and abuse prevention.

Security
Access is enforced in the database itself rather than only in the app: rules attached to every table restrict each row to the household it belongs to, so one family's information cannot be returned to another's account. Uploaded photographs sit in a private bucket reachable only through short-lived signed links. Our AI credentials are held server-side and are never shipped inside the app.
No system is perfectly secure, and we will not pretend otherwise. If we discover a breach affecting your information we will tell you and any regulator we are required to notify.
Changes
If we change this policy we will update the date at the top, and for anything material we will tell you in the app before it takes effect.
